JOB BACKGROUND
Designation: Programme Associate – Islamabad
Pre-classified Grade: SB 3 Step 2
Supervisor: Programme and Budget Analyst
Location: Islamabad
With the overall guidance of the Country Representative and direct supervision from the Programme and Budget Analyst, the Programme Associate provides assistance and oversees the execution of services within the Programme Unit of the Country Office (CO). They support project design, planning, and management by effectively managing data and facilitating programme implementation. The Programme Associate promotes a collaborative approach, in accordance with the rules and regulations of UN Women.
The Programme Associate directly team up with the Operations Unit, Communications Team, and other programme teams within the CO and sub-office in provinces. Their role is to ensure seamless implementation of project activities, handle information and data collection, and resolve intricate programme-related matters under the guidance of the Programme and Budget Analyst.
DUTIES AND RESPONSIBILITIES PROGRAMME ASSOCIATE
Provides effective support to programme management of the programme Unit
Facilitate effective communication and coordination with UN Women Provincial Offices to ensure smooth implementation, monitoring, and reporting of projects, expediting requests to the Country Office. Support the programme team in reviewing and preparing documentation for procuring goods and services, while also assisting in contract tracking. Compile and prepare comprehensive information, including meeting notes, records, and project-related documentation. Maintain an updated database of relevant stakeholders, encompassing government departments, civil society organizations (CSOs), donors, and UN agencies engaged in addressing Violence Against Women (VAW), Governance, and Human Rights. Foster communication with partners regarding project activities. Keep track of the team’s Mission and Leave plans. Compose non-substantive correspondence. Assist Portfolio Managers and Programme Officers in organizing and preparing for coordination meetings with UN, government, and other partners. Regularly analyze the program’s circumstances, identify operational and administrative challenges, and develop suitable solutions.
Provides administrative & Logistics support to the programme Unit
Provides comprehensive administrative and logistical support to the Programme Units, with a focus on accomplishing the following outcomes:
Assist the team in organizing exquisite events, meetings, consultations, workshops, and more.
Initiate requisitions in Atlas for the Programme Unit and aid provincial sub-offices in making necessary arrangements and preparing documentation for missions, meetings, events, and consultations.
Coordinate travel arrangements and liaise with the programme team and event participants, ensuring the meticulous preparation of travel authorizations, requisitions, and claims, accompanied by all required supporting documentation.
Collaborate with the Operations Team internally, as well as external vendors and service providers, as necessary, to ensure smooth and efficient completion of procurement processes.
Establish and maintain meticulous files of correspondence, documents, and electronically received information, ensuring up-to-date filing. Maintain both physical and electronic copies of office records and reference files covering various subjects.
Support the supervisor in accomplishing the targets outlined in the project workplans.
Ensures facilitation of knowledge building and knowledge sharing in the CO
Ensures the facilitation of knowledge building and knowledge sharing within the programme Unit, with a focus on achieving the following outcomes:
Identify relevant sources and compile data and information to prepare documents, guidelines, and other materials as required. Contribute to briefing materials, meeting notes, records, PowerPoint presentations, and other documents for the programme team, ensuring all papers are well-prepared for meetings.
Support the development of knowledge products for the Unit, encompassing review, editing/proofreading, translation, and design for printing. Coordinate with engaged vendors/consultants.
Contribute to the preparation of internal and external reports as per the specified requirements.
Assist in creating requisitions and liaise with vendors for the design and printing of programme briefs, reports, publications, materials for meetings/events, IEC (Information, Education, and Communication) materials, and more.
Facilitate the sharing and dissemination of knowledge products among the UN Women team and external stakeholders and partners.
Document lessons learned and best practices derived from past experiences and comparative initiatives; integrate these learnings into ongoing work and propose ways to enhance the processes of the Programme Unit based on this review.
Fulfill any other duties assigned by the supervisor.

REQUIRED SKILLS AND EXPERIENCE
Education: Bachelor’s Degree in social sciences, Gender/ Women’s Studies, Law or Development Studies.
Experience: 6 years of progressively responsible administrative or programme experience is required at the national or international level.
Experience in the use of computers and office software packages (MS Word, Excel, PowerPoint, etc.) and advanced knowledge of spreadsheet and database packages, experience in handling of web-based management systems.
Language Requirement:
Fluency in the English and Urdu is required.
